Built for ADHD clinics
Practice management,
built around your workflow.
Structured patient intake, document management, collateral informant portals and verbatim record-keeping, designed specifically for the workflow of a modern ADHD clinic. Your clinical time, freed for clinical work.
From intake to consultation
Information in.
Organised, in your clinical view.
Patient and informant responses, intake forms, monitoring questionnaires and supporting documents flow into your clinic workspace, verbatim, attributed and organised by source. Ready in your clinician view, alongside your own notes.
No more copy-paste
See what your patient said.
In their own words.
Patient and informant responses are surfaced verbatim in the relevant section of your clinician workspace. Each is fully attributed, read-only and ready to inform your own clinical notes. The system shows; the clinician decides.
Pt describes longstanding inattentive features dating to early primary school, with corroborating informant account from mother (see panel left).
Functional impact in childhood: academic underperformance despite reported capability; peer-relationship difficulties; persistent forgetfulness around homework.
Plan: proceed to symptom mapping section; review collateral once received from school records
Verbatim attribution. Read-only quotes. Source-linked. Your clinical narrative sits alongside, in your own words. SmartFlow ADHD moves the data; your clinical judgement does the work.
Built by clinicians, for clinicians
Everything you need.
Nothing you don't.
SmartFlow ADHD replaces fragmented paper-based processes with a focused digital platform built around the day-to-day reality of running an ADHD clinic.
Structured Patient Intake
Patients receive secure portal access ahead of their first appointment to complete intake forms covering history, current concerns, lifestyle and supporting information. Forms are designed by clinicians who follow AQAS guidance, so the information you need is captured before the consultation begins.
Managed Patient Pathway
Every patient progresses through a clear, configurable pathway, from onboarding and intake, through informant data collection, to consultation, documentation and follow-up. Status transitions are administrative, completion-based and visible across the team. Nothing falls through the cracks.
Comprehensive Audit Trail
Every action is logged, including form submissions, edits, status transitions, document generation and login events. Each entry captures timestamps, user identity and reason for change. The audit trail provides a complete, immutable record for clinical governance, GDPR compliance and Medical Council standards.

Tasks & Appointment Management
Coordinate clinical and administrative work from one place. Create and track tasks, assign follow-ups, surface alerts for incomplete forms, and manage appointments in day, week and month views. Tasks and appointments link directly to the patient record, so the whole team has context before action is taken.
Letter, Prescription & Email Templates
Branded email templates for patient invitations, appointment reminders, informant requests and GP correspondence. GP letter and prescription templates take the clinician's own content and produce consistently formatted PDFs with letterhead, patient demographics, prescriber details and date filled in automatically. The clinician writes the clinical content; the system handles the formatting.
Thank you for registering with SmartFlow ADHD.
Your account has been created and you can now access your patient portal to complete assessment forms, view appointments and access your medical records.
Speech-to-Text for Notes & Patient Answers
Clinicians can dictate directly into the workspace using EU-residency speech-to-text, and relevant patient answers given during consultation can also be captured verbatim where appropriate. The original wording is preserved, helping reduce typing while keeping the source material available for clinician review.
AI-Assisted Note Summarisation
Once notes have been captured, AI-assisted summarisation can help condense the clinician's own dictated or typed notes into structured headings for review and editing. The original note is preserved, the draft remains clinician-reviewed, and the system does not replace clinical judgment.
Functional impactDifficulty with organisation, missed deadlines and task completion in current employment.
Structured Clinician Reports with Prepopulated Informant Quotes
Assessment templates give clinicians a structured reporting format, while relevant patient and informant quotes can be surfaced directly into the appropriate sections as attributed source material. That means less copy-and-paste, clearer documentation, and a clinician-authored report that still keeps the original wording visible where it matters.
Developmental history
Patient and informant accounts indicate longstanding inattentive and hyperactive features dating back to primary school years, with corroborating examples from both sources included alongside clinician interpretation.Functional impairment
Current occupational impairment is described in the patient's own words, with supporting collateral evidence helping structure the report while leaving final wording and conclusions to the clinician.Document Management
Upload, store and organise patient documents, including referrals, prior reports, lab results and correspondence. Files are encrypted at rest and access-controlled by role.
Voice Dictation
Capture clinician dictation and relevant patient answers with EU-residency speech-to-text. Verbatim transcription only: spoken content is captured as text for review, never reinterpreted by the system.
Works from Anywhere
Web-based access from any device. Patients complete intake at home; clinicians work from clinic, hospital or home with the same view.
Multi-Tenant Architecture
Each clinic operates in its own secure, isolated environment. Patient and clinician portals are fully separated, with per-tenant data isolation enforced at every layer.
Workflow Notifications
Administrative alerts keep the team in sync, including incomplete intake, pending informant responses, upcoming appointments and overdue items, surfaced where they're needed.
Two-Factor Authentication
Email-based 2FA on all clinician and admin accounts as standard. Optional TOTP available for organisations with stronger authentication requirements.
Medication Monitoring Forms
Patient-completed monitoring forms capture medication, side effects, tolerability and quality of life in the patient's own words, ready for the clinician's review at the next consultation.
Prescription PDF Templates
Clinician-completed prescription form generates a branded PDF with patient demographics, prescriber details and date pre-filled. The clinician decides every clinical detail; the system formats and outputs.
Third-party perspectives
Collateral information.
Collected seamlessly.
Informant perspectives are a recommended component of comprehensive ADHD evaluation. SmartFlow ADHD makes gathering them effortless, for clinicians and informants alike.
Dedicated Informant Portals
Spouses, parents, siblings, close friends each receive their own secure portal account, separate from the patient's record. Each informant logs in independently to complete their forms.
Childhood & Adult Forms
Two structured questionnaires capture informant perspectives across the patient's lifespan: one for someone who knew the patient as a child, one for someone close to the patient today.
Verbatim Narrative Capture
Informants describe their observations in their own words: frequency ratings, real-life examples and qualitative narrative. Responses appear verbatim in the relevant section of your clinician notes.
Automated Invitations
When a patient nominates collateral contacts during intake, SmartFlow alerts clinic administrators to create informant accounts and send secure invitation emails. No manual chasing.
Progress Tracking & Auto-Save
Informants complete forms at their own pace with automatic progress saving. Clinic staff monitor completion status from the admin dashboard and follow up where needed.
Side-by-Side in Clinician View
Collateral responses appear alongside patient self-reports as quoted, attributed blocks in your clinical workspace, informing your assessment without doing it for you.
AQAS-aware workflow
Designed around the standards
your clinic already follows.
SmartFlow ADHD's intake forms, informant questionnaires and pathway structure were designed with reference to the Adult ADHD Assessment Quality Assurance Standard (AQAS), the consensus framework published in Frontiers in Psychiatry. The system captures the information AQAS-aligned clinicians need; the clinical interpretation remains entirely yours.
Pre-Consultation Information
Self-completed intake forms, supporting questionnaires and life-story narratives, collected digitally before the consultation begins.
Symptom Description
Structured prompts invite the patient and informants to describe symptoms with real-life examples in their own words. The system captures the descriptions verbatim.
Functional Impact Information
Patients describe how symptoms affect education, employment, social settings and home life, captured in the patient's own words across structured prompts.
Developmental History
Systematic intake prompts spanning childhood, adolescence and adulthood: neurodevelopmental, psychosocial and early-life information.
Mental & Physical Health History
Comprehensive intake covering medical history, comorbidity-relevant questions, cardiovascular history, substance use and informant perspectives.
Documentation & Communication
Letter templates, configurable communications and a complete audit trail support the clinician's documentation and post-consultation correspondence: written by the clinician, formatted by the system.

One workflow, end to end.
1. Patient Onboarding
Patients receive secure portal access to complete intake forms, upload supporting documents and write their own background narrative, before the first appointment.
2. Information Capture
Informants complete their own forms via secure portals. Patient and informant responses are stored verbatim, fully attributed, ready for the clinician's review.
3. Clinician Workspace
During and after consultation, the clinician sees patient and informant quotes alongside their own free-text notes. The system shows; the clinician decides.
4. Documentation & Follow-Up
Clinician-written letters generated from configurable templates. Audit trail captures every action. Pathway tracking keeps follow-up appointments and reviews on schedule.

Enterprise security
Your data is safe.
By design.
SmartFlow ADHD is deployed on AWS in the EU (Dublin) region with a defence-in-depth architecture, protecting clinical data at every layer from network to application.
HTTPS Everywhere
All traffic encrypted in transit with AWS ACM certificates. HSTS headers enforce secure connections and prevent downgrade attacks.
WAF Protection
AWS Web Application Firewall shields against SQL injection, XSS and malicious request patterns. Tenant-aware rules enforce host header validation.
Private Network
Application servers and databases run in private subnets with no public IP addresses. Access only via the load balancer or AWS Systems Manager.
Encryption at Rest
All data encrypted at rest with AWS KMS. RDS databases, S3 file uploads and Secrets Manager credentials protected with AES-256 server-side encryption.
GDPR Compliant by Design
SmartFlow ADHD is built to meet the requirements of the GDPR and the Irish Data Protection Act 2018, ensuring patient data is handled lawfully, transparently and securely at every stage.
Patients provide informed, explicit consent before any data is collected. Consent for treatment and data processing is captured digitally with a full audit trail, including who consented, when, and to what.
Only operationally necessary data is collected. Forms are purpose-built for ADHD clinic workflow, with no extraneous fields and no unnecessary personal data. Drafts are automatically cleaned up after configurable retention periods.
Patient records, intake responses, uploaded files and user accounts can be fully deleted upon request. Deletion cascades through all related records, from form submissions and informant responses to audit entries and uploads.
Role-based access ensures patients see only their own data. Informants are restricted to their assigned forms. Clinicians access only their clinic's patients. Per-tenant isolation provides complete organisational separation.
All data encrypted at rest (AES-256) and in transit (TLS 1.2+). File uploads use pre-signed URLs with time-limited access. No patient data stored in browser local storage or exposed in URLs.
All processing and storage takes place in AWS eu-west-1 (Dublin). Sub-processors are EU-based or operate under appropriate transfer mechanisms.
